Planning is planning – on so many levels, I have no doubt that my event colleagues across North America would agree. Yet there are some distinct advantages to working with a local event planner that can make a significant difference in the success of your event.
The Hometown Advantage
There is a wealth of knowledge that comes when you work with a local event planner. When discussing the “why” for your event and considering the scope you’re looking for, there is no one better equipped to offer the perfect recommendations than someone local. Hometown event planners have relationships everywhere and get the inside scoop on the best, most unique and sought after options. They may not have worked in every venue in your city but will certainly have the connections and great insights into the little things like:
- How easy a local venue is to work with
- What type of inventory they can offer in-house that may impact your budget
- What the in-house catering team is like to work with and how amazing (or not) their food might be
- If your venue offers an in-house audio visual company and if you can bring in other options
- How they might work within the scope that you are looking for
I can’t stress enough, the power of relationships. The ability to leverage long-standing connections that your event planner may have is a massive advantage. Sometimes just knowing the right person to call to get your foot in the door is all it takes. Other times those connections can be instrumental in helping you stay on budget or helping to make the seemingly impossible possible. When you get the right event partners around the table it’s amazing what can be accomplished. A local team may not always have specific expertise for some niche events but the wealth of local knowledge and personal connections more than makes up for it.
Removing the Unknown
Creating live experiences is one of the reasons event planning keeps landing on the Top 10 list of most stressful jobs, year after year. On the surface it may seem easy but in truth it’s a highly specialized job that requires superior planning skills, endless creativity and the ability to think on your feet. You can practice and rehearse every second of your event but once the doors open there are no shortage of things that can go wrong – and they do! When working with local professionals, you have the advantage of working with event partners that are already familiar with one another. The better acquainted your teams are, the easier it becomes to sidestep any potential issues. After all they’ve likely already faced the same challenges in the past and solved it together. These types of relationships don’t happen overnight and can be a serious advantage to ensuring your event goes off without a hitch.
That Little Extra
Finally, when working with someone local, not only can they make recommendations on great venues and event partners but they have the inside track on local talent from world class entertainers and other local businesses that you may never have considered at first glance The best florists, bakers, designers and event staffing may not always be the first ones that pop up in a google search.
Sure it’s possible to plan an event remotely but if you’re looking for the inside scoop, you just can’t beat local. The wealth of knowledge, expertise and personal connections offered on site just can’t be matched. If you’re looking to save time, money and need that extra bit of wow, look no farther than your host city because no one knows it like they do.
